A calmer fee week at Riverbend Academy

Fee week at the fictional Riverbend Academy used to mean late nights and three open spreadsheets. This term, the bursar, Ama, ran it differently. Here is how her week went.

Monday: issue, not improvise

Ama opened a class for the new term, reviewed the fee structure, and issued every pupil's bill in one go. She did not have to look up who owed what from last term: carried-forward arrears came along automatically, so each bill already showed the true balance. Services she had set up, the bus and the canteen, appeared under their own headings, and the two scholarships she manages applied themselves.

Tuesday and Wednesday: collect calmly

Payments came in at the front desk and online. For each one Ama simply recorded it, and a numbered receipt was issued automatically, ready to email to a verified parent. Families who had chosen to pay online settled by card or mobile money from the parent portal, and those payments, receipts and ledger entries recorded themselves. Nothing to re-key.

Thursday: chase the right families

Instead of messaging everyone, Ama opened the collections report and the dashboard, which showed the arrears at a glance. She reached out only to the handful of families genuinely behind, with the exact figure in front of her. A calmer, kinder conversation than a blanket reminder.

Friday: fix and reconcile

One parent had been credited twice. Rather than delete anything, Ama voided the duplicate payment, which reversed the ledger and kept the record intact. Another family's hardship was agreed as a write-off. Then she opened the finance statements to reconcile, and the numbers already agreed, because every fee had posted to the ledger as she went. No Friday-night spreadsheet marathon.

The quiet difference

Nothing dramatic happened, and that was the point. The same routine will work next term, and the term after. Riverbend did not need a bigger finance team. It needed the balances to carry themselves, the receipts to number themselves, and the books to reconcile themselves, so the people could spend the week talking to families instead of fighting a spreadsheet.
