The proprietor who finally let go

Take a proprietor we will call Ama. She runs a growing primary and junior high, and for a long time she ran almost all of it from her own login. Admissions season meant her phone did not stop: a parent at the gate, a teacher who needed a new class created, a registrar who could see the applications but could not approve a single one. Everything routed through her, because in the old world only the owner could really do anything.

The problem was not her staff. It was that "access" used to be all or nothing. You either handed someone the keys to the whole school or you left them watching from outside. So Ama kept the keys, and the queue formed behind her.

Three roles, one afternoon

The change took an afternoon. On the Team tab she added three ready-made roles and trimmed each to fit.

Her registrar got a Front desk role plus Admission letters. Now the registrar works the applications queue herself: she opens a submission, approves it, the pupil becomes a real student record under the school, and she prints the offer on the school letterhead, all without Ama touching it. Every action still carries the registrar's name in the activity log, so nothing is anonymous.

Her deputy head got Academic setup. When a new stream opened, the deputy created the class, added its subjects and pointed it at the right grading system, in minutes, on his own. Ama used to do that at 11pm.

And her board chair, who only ever wanted comfort that the numbers were real, got a read-only role. He sees every dashboard and report and can change nothing. No more exporting figures into an email the night before a meeting.

What she kept
