Double-entry for non-accountants

What the ledger quietly does behind fees, payroll and vendor bills, and why your income statement, balance sheet and trial balance simply agree.

You do not need to be an accountant to keep proper books. With the Finance module unlocked, iEasySR keeps them for you: a real double-entry general ledger that most schools never have to touch by hand.

What double-entry means, plainly

Every transaction affects two places at once. Take a fee payment: cash goes up, and the amount owed goes down. Double-entry simply records both sides, so the books always balance. The reassuring proof is the trial balance, which in iEasySR always balances, because the entries behind it are generated correctly.

The ledger posts itself

Here is the part that saves the day-to-day work. Your ordinary activity creates the correct journal entry on its own:

  • Issuing a bill and taking a payment post to the ledger as you go.
  • Running payroll posts salaries and, in statutory mode, splits the deductions across dedicated payable accounts.
  • Recording a vendor bill posts what you owe suppliers.

You keep collecting fees and paying staff the way you always have. The accounting happens underneath.

Set it up in minutes

On Finance then Accounts, click Load starter chart of accounts for an expert-designed set of over 70 accounts covering a school's real revenue, expenses, assets, liabilities and equity. Then click Use recommended accounts to wire the standard fee and payroll mappings in one step. Review and Save, and you are posting.

Read the numbers

The four statements every school wants are each one click:

  1. The income statement shows what you earned and spent.
  2. The balance sheet shows what you own and owe.
  3. The cash-flow statement follows the money.
  4. The trial balance proves it all ties out.

Several of these also download as a polished PDF with charts and a short explainer of each. When a month is agreed, run period close so the figures are locked.

The point is simple: keep working normally, and proper, audit-ready books build themselves in the background.
