Running your first pay run

From defining each person's salary to creating a run, approving it, marking it paid and downloading designed payslips, in four clear steps.

Payroll in iEasySR lives under Staff & HR, Payroll, part of the Staff module. Here is the whole path, from a blank page to payslips in hand.

1. Define each salary

Open Payroll, Salary setup. For each staff member, add their pay items. A simple payroll just uses Earnings (base salary, allowances) and Deductions. Each item can be a fixed amount, a percentage of basic, or a percentage of gross.

If you need statutory tax, switch on Statutory payroll at the top. Each item then takes a category (basic salary, taxable allowance, non-taxable earning, Tier-3 provident fund, post-tax deduction or employer overhead), and a live preview shows the computed figures as you type.

2. Create the run

On Payroll, create a run for the month. It snapshots a payslip for everyone who has pay set, working out gross minus deductions equals net. Nothing is final yet, so this is your chance to check the figures.

3. Approve, mark paid, download

When the numbers look right, Approve the run, then Mark paid. If you also run the Finance module and have mapped your salary accounts, approving posts the salary cost to your ledger and marking paid posts the payment, so payroll flows straight into your financial statements without a second entry.

With the run marked paid, open it and press Download payslips for a designed PDF, one payslip per employee, with earnings, deductions, net take-home and any employer overhead. The same payslips are available under Reports, Payslips.

A tidy finish

Each payslip carries your school header and an employee grid pulled from the person's HR record (Staff ID, designation, bank and more), so fill in the HR record for a complete slip. Under Payroll, Options you can show or hide the signature block, and optionally auto-fill the Authorised signature with your accountant signature and today's date.

Leave the statutory toggle off for a plain earnings-and-deductions payroll. You can always turn it on later.
