Custom roles: give each person exactly the access they need
You can now build your own roles, grant them precise features and reports, and give a staff member more than one. Ready-made roles for a head, bursar, front desk, exec and form teacher are one click away, and invited staff never need a separate licence.
Until now, adding someone to your school meant a broad choice: academic access, a fee role, or both. That is fine for a small team, but a headmaster, a bursar, a front-desk clerk and a read-only proprietor need very different things. So we built custom roles.
Roles you define
On your school's Team tab, the new Roles & access section lets you create a role and tick exactly which features and reports it grants, grouped by area: students, fees, finance, reports, and the rest. Each permission has a level, such as view or manage, and money areas add a collect level. A role can be as broad or as narrow as you like.
Ready-made, then yours to edit
Do not want to start from scratch? Add one of five presets with a single click:
- Head / Principal: full academic management and oversight reports.
- Bursar / Accountant: fees, services, accounting, payroll and money reports.
- Front desk: look up students, take fee and service payments, handle admissions.
- CEO / Proprietor: read-only across dashboards, figures and every report.
- House master / Form teacher: their pupils' attendance, marks and report cards.
Each preset becomes a normal role you can rename and adjust.
More than one role per person
People wear more than one hat. A member can hold several roles at once, and their access is simply everything those roles allow, combined. You can assign roles when you invite someone, and the invitation email names them.
No extra licences
A role only unlocks a paid-module feature (finance, payroll, School Suite) when your school already owns that module. The people you delegate to are covered by your school's licence, so there is nothing extra to buy.
Safe by design
A few things stay with you as the owner and can never be delegated: buying modules, managing the team and the roles themselves, the school code and currency, integration keys, and the full data export. Everything is server-enforced, and your own owner access is never affected.
