Statutory returns without the headache

The ministry census most platforms leave you to do by hand, turned into a guided checklist with coverage badges, then downloaded as the Ghana EMIS or francophone SIGE return in PDF or CSV.

The annual ministry census is the report almost every platform leaves you to assemble by hand, copying figures into a template the night before it is due. iEasySR produces it for you: the Ghana EMIS return or the francophone SIGE annuaire statistique, built from data you already keep.

A guided checklist, not a blank form

Open Statutory reports (it appears under Staff & HR once that module is unlocked) and you meet a numbered, step-by-step hub with live coverage badges: classes mapped, facilities entered, student census, staff census. Each badge shows at a glance how far along that step is, so you always know what is left rather than discovering a gap at submission. Work down the list in order.

The five steps

  1. Map your classes to a national level. Set each class to a standard level (KG1, P1, JHS3 for EMIS; CI, CP, 6e for SIGE). Enrolment only rolls up for mapped classes, and the return warns you about any still unmapped, so the totals are never quietly short.
  2. School profile and facilities. The EMIS code, ownership, district, GPS and shift, plus classrooms and their condition, toilets by sex, water, electricity, library, computers and textbook stock for the per-pupil ratio.
  3. Staff census. These figures come straight from each staff HR record: teaching or non-teaching, rank, trained, appointment status, and qualification kind and level.
  4. Student flows. Per class, mark each pupil's status: new entrant, repeater, boarder, or a disability. Flow data cannot be back-filled, so the hub nudges you to start capturing it early.
  5. Generate the return.

The return follows your country

The default flavour is chosen for you: a Ghanaian school gets EMIS, a francophone school gets SIGE, so you are not hunting for the right template. Open the return, choose the academic year, and download as PDF or CSV: enrolment by level, sex and age, new entrants, repeaters, drop-outs and transfers-out, staff by qualification and status, facilities and the textbook ratio.

A visual summary, if you want it

The return page also shows a visual summary of the census: a sex-balance doughnut, enrolment-by-level and by-age bars, and an enrolment-profile radar, each with a legend and totals. Export it as a high-definition image or a charts-only PDF, and choose per school under Staff & HR then Options which of the four charts to include on the full return's own charts page.

Build your own alongside it

The same module carries a report builder for the questions the census does not answer. Pick a ready-made dataset (Students, Staff, Enrolments, Fee bills, Payments, Attendance, Guardians, Admissions or Staff leave), choose up to three fields to group by (students by level and sex, payments by method, staff by department), preview the counts, then save it for one school or as a template for all of them, and download it as PDF or CSV.

Do it once, not twice

The point is that the census is no longer a parallel exercise. The data lives in one place, the hub tells you what is still missing, and the return prints in the required shape. What used to be a late-night copy-and-paste becomes a checklist you can hand to a colleague and finish in an afternoon.
