Set up once, reuse everywhere

Schools & students

Set up your school with logo and signature, add students individually or import hundreds via Excel, with columns for full biodata, guardians and the EMIS census fields as well as the basics, and export the live roster (or a photo ZIP) in one click.

01

Set up once, reuse everywhere

School, years, subjects and grading, structured so every later step is a click, not a chore.

  • Years & sessions

A setup wizard walks you through academic years, sessions and holiday blocks, or configure everything manually if you prefer.

  • Subjects & classes

Create SBA or Simple Assessment subjects, assign them to classes, and set class-level score boundaries per session.

  • eLearn resources

Give each class its online-learning resources in one place: a class code, a join or access code, a description and a link (for example a Google Classroom or LMS). Hand them to pupils as a per-student printout, or print them on each new student's admission letter, each with a scannable QR code, in your school's colours.

  • Anglophone & francophone assessment

Assessment is fully configurable: define grading bands, aggregate bands and auto-remarks per academic year, tailored to the WAEC/BECE way of assessing students (grade bands and a best-subject aggregate). Francophone schools switch a system to the Average family instead and get a true bulletin: a coefficient per subject, notes on a scale (out of 20), a coefficient-weighted moyenne générale, the mention (Passable to Excellent), the rang and a council decision (Admis, Admis par compensation or Redouble) recorded in a Conseil de classe deliberation. The two families run side by side in one school, and every report card can carry a per-subject Trend column (the change since last term). Clone and reuse systems across multiple years via templates.

  • Reuse setup across schools

Run several schools? Your catalogues - classes, subjects, fee structures, session presets and signatories - are shared across every school automatically. And save one school's chart of accounts, HR setup or services as a template and apply it to another in one click, so you never rebuild the same thing twice.

The daily work, minus the friction

Smart enrolment

Pre-assign students, spot cross-class conflicts, bulk-promote a whole class, import a roster from another class, or enrol individually, all on one screen.

02

The daily work, minus the friction

Enrolment, attendance and insight tools that keep a whole term on track.

  • Attendance tracking

Per-class, per-session attendance that prints on every report card. Built-in safety checks even warn you before paying for reports if attendance hasn't been entered yet.

  • Analytics & insights

A customizable dashboard with fee-collection, payment-method and collected-by-class charts you can show or hide, plus performance trends, subject averages and session comparisons. A 'students needing attention' early-warning flags low scores, poor attendance and unpaid fees, and a smart Suggestions box spots what to do next.

  • Lesson planning

Plan the term's topics per class and subject, track how much of the syllabus each class has covered, and see coverage status at a glance.

  • iAlex: built-in assistant

iAlex answers every iEasySR question (fees, reports, enrolments, assessment systems) instantly, in English and French, and now also answers live questions about your school's own numbers (students, fees collected, who is clocked in), without leaving the app.

  • Built-in Help Center

A searchable, bilingual Help Center lives inside the app, with role-based guides you read in a docked side panel without leaving your work, or download as PDF. It shows the articles relevant to your current screen first, and operators keep it current by editing articles in-app.

  • Feedback that shapes the roadmap

Send feedback or request a feature from inside the app, tagged by the part it concerns. Track each submission's status and read our response right where you sent it, so you always know what happened to your idea.

  • Works offline, even cold

Built for low-connectivity schools. Attendance and the daily register, marks and conduct scores, fee payments and bus/canteen service collection, and new-student entry all keep working when the connection drops. Better still, a dedicated Offline mode opens with no signal at all: one tap to 'Prepare for offline' caches the term's classes, bills and roster, so a teacher can take a whole register, register a walk-in pupil or enrol an existing one into a class from a dedicated Enrolment tab, and a cashier can collect fees completely offline, printing a provisional receipt for the payer on the spot. Everything syncs automatically the moment you reconnect, safely with several staff working at once. Installable as an app on phones and laptops.

With parents, in the loop

Online admissions

Email a registration link to interested parents; they submit full student biodata online and it lands in an approval queue. Approve, and the student is created with an 'Online' badge you can spot at a glance on your student list.

03

With parents, in the loop

Bring families into the workflow, from applying for a place to keeping an eye on results.

  • Admission letters

Give every admitted pupil a polished admission letter on your school letterhead, with a details card, admission conditions and signatures. Download one at a time or a whole class as a single combined PDF, or email letters straight to verified parents. Add onboarding sections with scannable QR codes (orientation media, the parent portal and your fee policy), let AI draft the wording, pick the signatory, and pull an admissions summary PDF and register CSV from the Reports tab.

  • Parent portal

Parents download their children's report cards and fee bills, request an absence (with email updates when it's approved or declined), and pay outstanding fees online by mobile money or card - all through a secure email magic-link, no password or account to manage. Staff can also reach a parent directly on WhatsApp in one tap.

  • Absence requests

Parents notify the school of an upcoming absence from their portal; owners get an alert and review each request in one place.

  • School news & announcements

Post announcements to everyone, just your team, or parents, and pin the important ones to the top. Attach a link to a flyer, form or document so families can open it in one tap.

Documents parents actually hold

A4 report cards

Beautifully formatted single-page student reports with school and teacher signatures, a fully customizable layout in your school's own colour theme (which also flows onto fee bills, admission letters and ID cards), a colourful academic-year performance graph, and per-subject trend plus term and academic-year positions. Pay per student; coupon codes and bulk generation supported.

04

Documents parents actually hold

One paid document, and a library of free ones around it.

  • Free academic reports

Broadsheets, transcripts, rank sheets, grade distribution, WAEC/BECE aggregate sheets, at-risk lists, annual results, class comparison, attendance, attendance defaulters, withdrawn and transferred students, ID cards, lesson coverage, an admissions register and a guardian directory and more, all free and gathered in one role-aware Reports hub.

  • Email to parents, in either language

Send finalised report cards and fee bills straight to verified parent email addresses, and choose the language of each document, English or French, independently of your app language, so a francophone family gets a French bill and an anglophone one gets English. No extra setup required.

  • Free fee reports & health

Class statements, per-student fee ledgers, outstanding balances, aged debtors, collection progress, receipts register, defaulter letters, scholarships and discounts register, revenue projection, plus a financial-health dashboard (collection-rate trend, aged debt, revenue per class), all free.

Money, handled properly

Student fee management

Per-class fee structures from reusable catalogues and templates, with percentage rows, suggested due dates, a discount catalogue and per-student overrides. One click prepares next term's billing. First session is always free.

05

Money, handled properly

Fee structures, instalments and receipts with a full audit trail behind them.

  • Payments + receipts

Record cash, bank, MoMo or cheque with auto-numbered receipts, or let parents pay online by mobile money or card from their portal (each school connects its own Paystack, so fees land in your bank) and every payment auto-reconciles with a receipt and ledger entry, with a reconciliation queue to match or log any mobile-money payment that lands without a reference. Send fee reminders by email and SMS, set payment policies; overpayments carry as credits. Void a payment or write off a balance, both fully audited.

  • Services: bus, canteen & your own

Bill canteen and bus fees per student, folded into the normal fee bill. You can also create any service of your own (boarding, uniform, levies, clubs), as single-choice, flat, or pick-more-than-one. A fast, phone-first Services Portal collects them on the run: search for a student or work a whole route, with instant receipts, 'paid today' at a glance, printable roster and daily collection sheets, and a dedicated 'services cashier' role. Pay a service in the Portal or with the normal fee bill; the bill is the single source of truth, so a clear paid/owed view shows either way and you never double-collect. Families pay daily, weekly, monthly, every 3 months or up front with an 'on track / behind by' nudge, and any unpaid balance carries to next term.

  • Scholarships & bursaries

Define a recurring award once per student (percentage or fixed, whole bill or a category); it applies automatically as a discount every term, sibling discounts included. Optional automatic reminders chase overdue fees for you.

  • Secure by default

Email-based MFA, Google sign-in and parent-email verification gate. Your data is yours alone and never shared across accounts.

  • Your data, yours to export

Download all of your school's data any time as a ZIP of spreadsheets, for your own backup or to migrate away. Every export is protected by your password plus a one-time code emailed to you, so only you can open it. No lock-in: your records belong to you.

  • Unified team management

Manage your whole team from one screen. Assign academic access and a fee role (Viewer, Cashier, Bursar) per person, and message teammates in-app and by email.

  • Role-based access, top to bottom

A professionally operated platform where everyone sees exactly what their role allows. Owners run everything; bursars, cashiers and a dedicated services cashier handle money at the level you set; teachers work with their own classes; parents get a secure portal; partner firms get read-only numbers only. Behind it all, a central operator layer keeps accounts, modules and support running. A built-in Access levels guide spells out who can do what.

  • Partner access for NGOs, foundations & advisers

Work with an NGO, a foundation or an education consultant that supports your school? With your consent, give a partner organization read-only, numbers-only access to your figures, including budget and cash-flow forecast reports - never student or staff names, and they change nothing. They can export the fee, financial, HR and academic figures they see as CSV for their own analysis. Partner organizations apply in minutes and iEasySR verifies each one before granting access; you then bring an approved partner onto a school by sharing a one-time invite code, limited to this term or granting full history, and you revoke any time; an audit log shows exactly what they viewed.

Optional add-on modules

Finance & accounting

Start from an expert-designed chart of accounts, curated with finance professionals (70+ ready accounts covering tuition, admissions, exams, boarding, transport, canteen, statutory staff deductions, VAT and more) - optional and yours to tailor. On top of it, a full double-entry general ledger with journals and one-click income statement, balance sheet, cash flow and trial balance, a detailed general ledger, account schedules by type, an accounts-payable aging report and printable chart-of-accounts and mappings, plus budget-vs-actuals and a 13-week cash-flow forecast. Fees, payroll and vendor bills post automatically; foreign currency and period close supported. Francophone schools can load the SYSCOHADA (OHADA) plan comptable in one click and download OHADA statements instead: a Compte de résultat with the SIG cascade, a Bilan and a TAFIRE.

06

Optional add-on modules

Two optional modules you switch on per school: unlock either or both, or redeem a single-use code.

  • Staff time clock & attendance

Staff clock in and out with optional on-site geofencing and server-set timestamps. Set a work schedule (expected hours, break, grace period, working days) and timesheets flag on time versus late, left early and absences, with a punctuality summary in the PDF and CSV reports. Add rounding, overtime and strict-geofence policies.

  • Payroll & payslips

Turn approved hours into pay runs and a downloadable PDF payslip for each employee, posted straight to the ledger so your books stay in step with what you pay. An optional statutory-payroll mode computes employee and employer statutory deductions from a regime you choose (a built-in Ghana SSNIT + GRA PAYE set, or your own country's contributions, tax bands and an optional contribution ceiling defined once), with a remittance summary and printable payroll, leave and staff-directory registers.

  • HR records & leave

Keep staff profiles, documents and qualifications, organise departments and positions, and manage leave requests, all in one staff directory.

  • Statutory reporting (EMIS / SIGE)

Produce the ministry census return most platforms leave you to do by hand. A guided, step-by-step hub with live coverage badges walks you through mapping grades, school profile and facilities, and the student and staff census, then downloads the completed Ghana EMIS or francophone SIGE return as PDF or CSV, complete with a visual summary of enrolment charts you can switch on or off. A built-in report builder also lets you compose your own reports from curated datasets and save them per school or as a template.

  • iLex+ AI assistant

iAlex gains an AI mode that helps your team get tasks done: ask how to do something in plain language and it walks you through the steps, grounded in iEasySR's own help. It advises, it never changes your data. Free for a school that owns both modules, or unlock it on its own, and you can bring your own AI key to use your preferred model.

Add-on modules unlock per school, right inside the app. Buy online by card under Settings, or redeem a licence code.See module pricing

Common questions

A quick look at what iEasySR does and how it fits your school.

Which schools is iEasySR built for?

Schools everywhere. It supports both the anglophone model (WAEC/BECE grade bands and a best-subject aggregate) and the francophone model (a coefficient-weighted moyenne, mention, rang and a Conseil de classe decision), and the whole app is bilingual in English and French.

Does it work when the internet is poor?

Yes. An offline mode keeps attendance, scores, fees, new students and enrolment working with little or no connection, and everything syncs automatically once you are back online. You can also install iEasySR as an app on a phone, tablet or laptop.

Can parents see reports and pay fees online?

Yes. The parent portal opens from a secure link sent to their email, with no password. Parents download report cards and fee bills, pay outstanding fees by mobile money or card, request an absence in advance and receive school updates.

Can I run more than one school from one account?

Yes. iEasySR is multi-school: your catalogues (classes, subjects, fee structures, signatories) are shared across every school automatically, while each school keeps its own settings. External firms can get read-only partner access to the schools that consent.

Do I need to install any software?

No. iEasySR runs in your web browser on any device, and can optionally be installed as an app for quick access. There is nothing to download or maintain, and updates arrive automatically.

How do I get help while I work?

A searchable, bilingual Help Center lives in a side panel and shows the articles relevant to your current screen first. iAlex, the built-in assistant, answers questions about iEasySR and about your school's own live figures, and iLex+ adds an AI helper that walks you through tasks step by step.
