A school goes paperless

This is an illustrative story, not a real school. Picture a small primary school that ran on paper: a fee ledger in a hard-cover book, report cards written by hand each term, and a drawer of receipts nobody wanted to reconcile.

The first term

They started where the pressure was highest: fees. The bursar built a fee structure once, then issued each pupil's bill in a couple of clicks. When a parent paid, a numbered receipt was issued automatically and could be emailed. Overpayments became credits and arrears rolled into the next term's bill on their own, so no one re-keyed a balance again.

For bus and canteen money, collected at the gate on a phone, the Services Portal totalled the day for a clean cash hand-over. The old drawer of loose receipts quietly emptied.

Report cards without the late nights

At the end of term, teachers entered marks and attendance into a grid, and totals, grades and the aggregate computed themselves. Instead of writing cards by hand, the school generated every pupil's report at once and emailed the PDFs to verified parents. Fixing a mark and re-generating cost nothing, so a small correction no longer meant starting a page over.

Parents in the loop

Parents signed in to a free portal with a one-time link, no password to manage. They downloaded report cards and fee bills themselves, and requested an upcoming absence online, receiving a confirmation and then the school's decision by email. The front-office phone rang a little less.

Keeping the books

Later, they unlocked the Finance module. Fees, payroll and vendor bills began posting to a real double-entry ledger by themselves, and the income statement, balance sheet and trial balance were each one click. The hard-cover book went into a cupboard.

None of this happened in a day. The school turned on one piece at a time, in the order that eased the most pain first.

The point of the story is not the software. It is that the same staff, doing the same jobs, spent less of the term on paper and more of it with pupils.
